Role Overview
The Marketing Assistant plays a key role in client experience management, leads generation and management, and CRM updates. This position bridges marketing activities with operational execution, ensuring that leads are generated, qualified, converted into bookings, and managed through to successful service delivery. This should work with the company’s existing CRM software.
The role requires strong organisational skills, clear communication, attention to detail, and a results-driven mindset.
Key Responsibilities
- Scheduling & CRM Management
- Schedule jobs accurately within the CRM system
- Coordinate bookings between clients, cleaners, and operations
- Manage rescheduling, cancellations, and booking adjustments efficiently
- Ensure job details (scope, frequency, pricing, notes) are correctly recorded
- Maintain up-to-date CRM data to support reporting and operational clarity
- Client Relationship Management
- Act as a primary point of contact for new and existing clients
- Conduct follow-ups after enquiries, bookings, and completed jobs
- Collect and document client feedback
- Address and resolve basic client concerns, escalating issues where required
- Maintain a professional, responsive, and service-focused communication standard
- Marketing & Operations Coordination
- Ensure smooth handover of leads from marketing to operations
- Communicate marketing outcomes, promotions, and campaigns to operations
- Support alignment between booked services and operational capacity
- Identify gaps or recurring issues affecting lead conversion or service delivery
- Lead Generation & Qualification
- Generate new leads through approved marketing channels (digital campaigns, inbound enquiries, referrals, CRM pipelines, etc.)
- Qualify leads by assessing client needs, service suitability, urgency, and location
- Maintain accurate lead records and statuses within the CRM
- Track lead sources and support continuous improvement in marketing effectiveness
- Performance & Accountability
- Meet agreed targets for:
- Lead conversion rates
- Scheduling accuracy
- Client satisfaction
- Maintain responsiveness during agreed working hours
- Provide regular updates and reports to the Operations and Marketing Head
- Follow internal processes, systems, and service standards
Internship to Employment Pathway
The role will commence as a 2-month internship
During this period, performance will be assessed based on:
- Reliability and consistency
- Accuracy in scheduling and CRM management
- Communication quality and client handling
- Subject to satisfactory performance, the role will transition into a full-time ongoing position
