Job Description

Role description

The Contracts and Consultant Lead will oversee the management, execution, and monitoring of contracts and

consultancy agreements for Alliance Asia Nepal's diverse development projects. Reporting to the Managing

Director, the Contracts and Consultant Lead will ensure compliance with legal, organizational, and donor standards

while ensuring effective collaboration and partnership of AAN with consultants, and external stakeholders. This

role involves drafting and reviewing contracts, managing consultant database, and maintaining documentation and

reporting systems.

Primary Responsibilities

1. Consultant Recruitment and Coordination

● Develop terms of reference (TOR) and coordinate the onboarding process for consultants.

● Monitor the deliverables and timeline of consultants.

● Serve as the primary point of contact for consultants, addressing any issues or concerns.

2. Contract Management

● Draft, review, and negotiate contracts and agreements with consultants and partners.

● Ensure all contracts comply with organizational policies, donor requirements, and relevant legal

frameworks.

● Ensure timely delivery of contracts to the relevant consultants for a smooth implementation

phase.

● Coordinate with program teams to ensure contracts align with project goals and timelines.

3. Documentation and Reporting

● Maintain an organized database for all consultants including contracts, agreements, supporting

documents and their portfolio.

● Ensure data accuracy and confidentiality in all documentation and communication.

4. Consultant Engagement

● Build and maintain strong relationships with consultants and partners.

● Coordinate and organize meetings with consultants.

● Develop comprehensive orientation packages, including all essential documents, to provide to

consultants.

● Identify opportunities for onboarded consultants by endorsing their profiles and expertise to

donor organizations and potential clients.

5. Compliance and Risk Management

● Identify and mitigate risks associated with contracts and consultant management.

● Stay updated on legal and donor requirements to ensure ongoing compliance.


Qualification

● Master’s degree in Business Administration, Development studies, Communications, or related

Management field.

● At least 5 years of experience in contract management, human resources, procurement, or a related role.

● Experience with donor-funded projects and familiarity with international development is preferred.

● Strong knowledge of Nepalese legal frameworks and contract management practices is preferred.

● Effectively manages contract terms to balance organizational and stakeholder needs.

Working Conditions

● Office-based role with occasional travel to project sites and partner locations.

● Regular use of computers and consultant management software.

● Ability to manage multiple priorities and deadlines in a fast-paced environment.
